Booking Terms and Conditions


Bookings:

  • Bookings made by telephone will be confirmed via email as soon as possible, generally within 2 hours;
  • Bookings are confirmed immediately if made via our www.exchangebeaconsfield.au main website.  Bookings made via other booking channels may not be confirmed immediately. You will be advised as soon as possible via email, generally within 30 minutes;
  • Full payment is to be made in advance for any reservations to hold the booking. A Tax invoice can be provided upon request.

Cancellation Policy:

  • Full refund for cancellations made 7 days prior to the check-in date

Cleaning:

  • The areas or rooms that you hire must be left as you found them, for the next guest or group;
  • Food preparation areas should be cleaned and wiped down to avoid vermin and/or ants (downstairs suite only);
  • Pets are not allowed at the property under any circumstances;
  • Failure to leave hired areas clean and tidy as requested may incur an additional cleaning fee.

Conduct:

  • It is important that all groups and individuals are aware that we all have a responsibility to each other and should behave harmoniously and in a responsible manner at all times whilst within the Exchange Hotel and surrounds;
  • The number of guests staying at the property must not exceed the number of persons booked.  The property is being constantly monitored and whilst visitors are welcome during your period of rental, as a courtesy, please let your host know in advance;
  • It is expected that all property will be treated with the upmost respect and courtesy;
  • Nothing is to be attached to the walls or any surfaces, under any circumstances;
  • Strictly no smoking or drugs allowed on the premises;

Damages:

  • Please report ALL damages, faulty equipment or any problems to your hosts as soon as possible;
  • The registered guest will be held financially responsible for any loss or damage caused during their stay;
  • No items are to be removed from the premises. This includes all items and structures inside the hotel and all external and communal areas on the property;
  • The registered guest is only entitled to use the part of the property that they have requested and agreed to;
  • The registered guest must not sub-let to any other group;
  • The registered guest agrees that any charge for services, not billed at the time of your booking may be added to your account for settlement as arranged or may be charged to the same credit card used to guarantee payment of your account;
  • Check out is generally 10am, however a late check out may be arranged with your hosts.
  • Any damaged or missing keys/electronic key-fobs must be replaced, a flat cost of $75 will be charged for the replacement of these items.

Emergency Procedures:

  • Emergency contact details for the local police, ambulance etc. are listed on the first page of your guest compendium, located in your room;
  • Once you have contacted emergency services, please advise your host as soon as possible of any details on 0422 373 514.

Insurance:

  • the Exchange Hotel is covered under a Business Liability Insurance policy that provides Personal Legal Liability cover and Public and Products Liability cover of up to $10M;
  • Notwithstanding this, your host cannot be held personally liable for any damage or loss to your personal belongings. We strongly advise that you lock your room or apartment, with the keys provided, when you are not onsite;
  • You agree that you will not make any personal claim against your host for any damage or loss to your goods or valuables, regardless of how or where the loss or damage occurred.

Security:

  • On receipt of your keys and security fobs you will be walked through the security procedures by your host;
  • The registered guest is responsible to ensure that all room doors are locked when leaving the premises.

Privacy Policy

The Exchange Hotel Beaconsfield is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.

This Personal Information is obtained in many ways including all correspondence (in-person or via phone/email), information provided via our website, publicly available sources or media, publicly available publications, cookies and from third parties. We don’t guarantee website links or policy of authorised third parties.

We collect your Personal Information for the primary purpose of providing our services to you, providing information to our clients and marketing. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.

When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

  • For a secondary purpose that is directly related to the primary purpose

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

The Exchange Hotel Beaconsfield will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require identification from you before releasing the requested information.

It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date.
